Setting Up Act Generation from Bitrix24 to 1C
A work completion act is a document by which the executor confirms that a service has been delivered. In Bitrix24, this moment is recorded by the deal status.
The problem: a manager closes the stage, the accountant finds out a few days later, the act is delayed, and payment is delayed too. When generating an act manually, a manager spends 10-15 minutes per deal, and the accountant spends another 20-30 minutes.
At the scale of 50-100 deals per month, this is up to 100 hours of useless work. Our integration completely eliminates manual transfer: data goes to 1C automatically, and the act is created in the background. The accountant only checks and posts it.
Average operational cost savings are estimated after an audit at a volume of 60 deals per month. The cost of setting up the integration is calculated after an audit, but it pays for itself in 2-3 months.
We solve this through automatic synchronization of data from Bitrix24 to 1C when the required status is reached. We offer a turnkey solution and guarantee compatibility with any 1C and Bitrix24 configurations. Contact us so we can evaluate your project and prepare a roadmap.
Our experience shows that properly configuring the exchange reduces act closing time by 70% and saves up to 60% of accountant labor. Many companies face acts being prepared late, leading to payment delays and client dissatisfaction. We eliminate this problem completely.
Which Document Is Created in 1C
Depending on the 1C configuration, the target document differs:
| 1C configuration | Document for acts |
|---|---|
| 1C:Accounting 3.0 | Act on Provision of Production Services or Sales (act, invoice) |
| 1C:Trade Management 11 | Sales of Goods and Services (operation type — services) |
| 1C:ERP | Sales of Goods and Services |
| 1C:Small Business Management | Provision of Services |
Before setting up the integration, you need to determine exactly which document is used — field mapping depends on this.
What Data Is Required to Create an Act
The act is built on three groups of data. Deal parties. The executor is the company's legal entity (details from Bitrix24 settings, “Organization Details” section). The customer is the counterparty from CRM. INN, KPP, and legal address are mandatory.
List of services. Taken from the deal's product line items (crm.deal.productrows.get). Each line item is a row in the act: name, quantity, unit of measurement, price, VAT rate. If CRM uses arbitrary names, a mapping table to 1C nomenclature is required.
Amount and currency. It can be in any currency — transmitted with exchange rate consideration or in the accounting currency, depending on the accounting policy.
According to the 1C documentation, the OData service allows flexible configuration of data exchange without modifying the configuration.
How Data Transfer Happens: Two Options
Option 1 — webhook on stage change. Configured via “Settings” → “Webhooks” → “Outgoing webhook” for the ONCRMDEALSTAGEID event. When a deal moves to the required stage, a handler is called. It receives the deal ID, retrieves the full data, and generates a request to 1C. This option is faster to set up.
Option 2 — business process with the action “Create act in 1C”. Suitable for on-premise Bitrix24. It allows a manager to launch the act manually without changing the stage. But setup is more complex.
Let's compare the options:
| Criterion | Webhook | Business process |
|---|---|---|
| Setup speed | 1-2 days | 2-4 days |
| Flexibility | High | Medium |
| Manual launch | Automatic only | Yes |
| Maintenance complexity | Low | Medium |
A webhook is set up 2-3 times faster than a business process, but a business process is more convenient for non-standard scenarios.
Example of a PHP webhook handler
<?php // Get deal data $dealId = $_REQUEST['data']['FIELDS']['ID']; $deal = CCrmDeal::GetByID($dealId, false); // Build a request to 1C via OData $odataUrl = 'http://1c-server/odata/...'; // ...
?>
Case Study: Our Client Is a Digital Agency with Monthly Closing
Our client is an agency managing 60-80 active projects. Every month, in the last days, there was an “act marathon”: project managers closed stages, and the accountant manually transferred data to 1C. This took 2-3 days.
After setting up the integration: closing the “Work completed” stage in Bitrix24 automatically creates an act in 1C with the status “Draft”. The accountant checks and posts it. Act preparation was reduced from 2 days to 4 hours.
Special feature: the agency uses non-standard units of measurement (“hour”, “project”, “revision”), which are not in OKEI. We added custom units in 1C and configured the mapping in the handler.
Why It Is Important to Set Up Feedback from 1C
An act may be rejected by the accountant due to an error in details or amounts. A full-fledged integration involves sending the status back: if the act is rejected, a task for the manager appears in the deal with a description of the reason. This is implemented via a scheduled job in 1C that calls crm.activity.add in Bitrix24.
Step-by-Step Setup Process
- Audit of the current Bitrix24 and 1C configuration, clarification of documents and details.
- Design of the exchange scheme: choice of option (webhook or business process), definition of the trigger stage.
- Setup of the outgoing webhook or business process in Bitrix24.
- Development of a PHP handler: retrieving deal data, field mapping, calling the 1C REST API.
- Setup of feedback from 1C to Bitrix24 (scheduled job).
- Testing on test deals, bug fixing.
- Training of the accountant and managers to work with the new integration.
- Deployment to production, warranty support for 30 days.
