Bitrix24 CRM Setup: Funnels, Fields & Permissions
After activating Bitrix24 CRM, it runs in default mode — with standard funnels, default fields, and generic statuses. For most businesses, this doesn't fit: sales stages differ, fields are either superfluous or missing, and responsibilities aren't assigned. We have helped over 50 companies across various industries align their CRM with their actual sales process — from a simple funnel for a startup to complex multi-funnel setups integrated with 1C and telephony. Setting up a CRM means adjusting the system to match your real sales process. Without it, you get a toy, not a tool. We fix that.
Problems with Default CRM
Default Bitrix24 CRM settings often include dozens of unused fields, inappropriate statuses, and weak access permissions. This leads to managers entering irrelevant data, wasting time, and making mistakes. For example, in one company we found that out of 20 deal fields, only 7 were actually used; the rest just slowed down work. Properly configuring CRM for your business processes can reduce deal creation time by 2-3 times and cut errors by 40%.
Choosing the CRM Mode
The first decision: enable or disable leads. Bitrix24 has two modes:
- With leads: incoming inquiries become leads, get qualified, then convert to contact + company + deal.
- Without leads (simple mode): each inquiry directly becomes a contact and a deal.
Mode is selected in CRM → Settings → Other Settings → CRM Mode. Switching doesn't delete existing data but changes the interface and processing logic. Our recommendation: leads are useful if your incoming flow is large and requires initial qualification. For B2B with low volume, it's often simpler to go without leads. The choice depends on the incoming volume and sales stage. If you receive 50+ inquiries daily and need to qualify them — enable leads. For small businesses with 5–10 deals per month, it's more convenient to work without leads: each inquiry becomes a deal immediately. We configure CRM to fit your comfort: during audit, we analyze your funnel and suggest the optimal mode.
Setting Up Funnels and Stages
A funnel is a sequence of statuses (stages) through which a deal passes. Configured in CRM → Settings → Stages and Funnels. Common mistakes when setting up funnels:
- Too many stages (15+) — managers stop moving deals.
- Ambiguous names: 'In progress', 'Under discussion' — unclear what action is needed.
- No terminal statuses for lost deals — no insight into where clients are lost.
A good funnel: 5-8 stages, each representing an action or decision. For example: 'Contact established' → 'Quote sent' → 'Quote approved' → 'Contract signed' → 'Payment received'. Create separate funnels for different sales channels — new sales and repeat sales have distinct stages. To avoid mistakes, use action-based stages rather than state-based.
| Common Mistake | Correct Solution |
|---|---|
| 15+ stages, managers don't move deals | Reduce to 5-8 stages, each with a clear action |
| Names like 'In progress', 'Under discussion' | 'Quote sent', 'Contract under approval' |
| No loss statuses | Add 'Lost' or 'Cancelled' to analyze reasons |
Setting Up CRM Fields
By default, deals, contacts, and leads contain dozens of fields, most of which are unnecessary. The task is to keep essential ones, hide the rest, and add business-specific fields. Configure fields in CRM → Settings → Fields. Each entity type (lead, deal, contact, company) is configured separately. Create custom fields with types: string, number, list (enum), date, link to CRM items, file. The 'link to user' field is convenient for specifying a curator or secondary responsible person.
CRM card layout — a separate configuration section — determines which fields and in what order the manager sees. You can create multiple card layouts for different roles.
Setting Up Access Rights
In Bitrix24 CRM, access rights are configured via roles: CRM → Settings → Access Permissions. Basic roles: manager sees only their own clients, head sees entire department, director sees all. Permissions can be detailed: allow viewing but prohibit editing or deletion. For advanced scenarios, configure rights by departments: each department sees only its own clients.
For a sales team of 10, basic roles suffice: manager, head, director. For complex structures (regions, sales departments, support), we set up access by departments with granular permissions — down to prohibiting editing specific fields. This protects data and simplifies control.
Access permission configuration is described in the official Bitrix24 documentation: helpdesk.bitrix24.ru
Required Fields and Validation
How to ensure managers fill in necessary information?
Fields can be made mandatory — without filling them in, the deal can't change stage or be saved. Configured via 'Required fields on stage change' — you can set different required fields for different transitions. For example, moving to 'Quote sent' requires email; moving to 'Contract' requires company's tax ID. This reduces manual checks and ensures data quality.
Turnkey Configuration Process
- Audit — analysis of current business processes, issues, typical scenarios. Identify bottlenecks.
- Design — create a schema of funnels, fields, permissions, and automation. Agree with you.
- Configuration — set up CRM: funnels, fields, roles, robots, integrations.
- Testing — run test deals, verify logic and validation.
- Training — train managers, prepare documentation.
- Support — one month of post-installation support, adjustments based on your feedback.
How the audit works
The audit includes interviews with key employees, analysis of the current funnel and CRM data, and identification of bottlenecks. The result is a report with recommendations and a prototype of the future scheme.Timelines and Cost
Basic setup for a company of up to 20 people takes 1–2 business days. For complex integrations, the timeline extends to up to 5 business days. The cost is calculated individually based on funnel complexity, number of fields, and integration needs. We do not publish fixed prices — after the audit, we provide a precise estimate. You save time and money: DIY setup can cost twice as much due to errors and manager downtime.
