Development stages

Bitrix24 Manager Checklists Setup

Manager closes deal, forgets to request requisites. Accounting can't issue invoice, deal hangs. Another manager sends proposal without coordination with head — conditions not right, discount not approved. Third forgets to call client after meeting. All this — lack of standardized process. Checklists enforce required steps and don't let move forward until everything done.

Task Checklists

Simplest tool — checklist inside task. Created in task card, contains items checked off as completed. Suits for standardizing repeated work.

Example task checklist "Preparing for client meeting":

  • Review interaction history in CRM
  • Prepare presentation / commercial offer
  • Verify current contact details
  • Coordinate agenda with manager
  • Book meeting room / setup Zoom

Task checklists don't block task closure — manager can complete task with unfilled checklist. For strict control, need smart processes.

CRM Deal Stage Checklists

More powerful option — checklists tied to pipeline stages. At each stage, manager must complete certain actions before moving deal forward.

Implementation via required fields per stage:

If required fields not filled — B24 doesn't let move deal to next stage. Configured in CRM → Settings → Deal Stages → Required Fields.

Smart Process Checklists

Smart Processes — custom CRM entities with own pipelines, stages and automation. Suit processes not fitting standard deals: client onboarding, tender preparation, audit.

In smart process, checklist implemented via:

  • Custom "Yes/No" fields — each checklist item = separate field. Filling requirement configured per stage.
  • Check robots — robot on stage transition checks field completion. If unfilled — blocks transition and sends notification to manager.
  • Business Processes — for complex checklists needing approvals and parallel branches.

Completion Control

Checklist useful only when manager sees who completes, who ignores. Control tools:

  • Unfilled fields report — list of deals with empty required fields. Built via standard CRM report with filter on empty fields.
  • BI constructor dashboard — visualization: percent deals with filled checklist at each stage, manager rating on filling discipline.
  • Auto-notifications — robot daily checks deals longer than N days on stage with unfilled fields and sends reminder to manager.
