Setting Up a Smart Process for Vacations

Each vacation request is a smart process item. The card contains: employee (linked to structure), vacation type (annual, unpaid, educational), start and end dates, number of days (calculated automatically considering weekends), remaining days (pulled from the employee card), and a substitute. Stages: Draft → Pending Approval → Approved → On Vacation → Completed / Canceled.

The Approval Chain

The request route depends on the type and duration. The department head approves first: they see overlaps with other employees. HR checks the remaining days and compliance with the schedule. The director is involved for vacations longer than 14 days or for managers. Each approver receives a notification with request data and 'Approve' / 'Reject' buttons. When rejected, a mandatory comment with the reason is required. Configuring the chain takes 1–2 hours through business processes.

Why Overlap Control Matters

When several key employees are on vacation simultaneously, department work stops. When a request is submitted, the system checks: are there approved vacations for colleagues on the same dates? If an overlap is detected, the approver sees a warning with the employees' names. Additionally, a minimum coverage rule can be set: the minimum number of employees who must be present in each department. If a vacation violates the threshold, the request gets a 'Requires Attention' mark. This completely eliminates situations where two out of three people in a department are absent at the same time.

Balance Tracking and Calendar Integration

Day balances are maintained in the employee card field or in a linked smart process 'Vacation Balance'. At the beginning of the year, an annual limit is accrued (28 days by default). When a request is approved, the balance decreases; upon cancellation, it is restored. Unused days are carried over or expire — depending on company policy. An approved vacation automatically creates an 'Absence' event in the calendar. Colleagues see the employee's unavailability, and when planning meetings, the system warns about conflicts. In the department's shared calendar, vacations are displayed as a color bar.
