Project work automation begins with task synchronization. Manual transfer of tasks between Bitrix24 and external systems is hours of lost time, typos, missed deadlines.
On average, one task takes 10–15 minutes per day — copying statuses, updating deadlines, recalculating progress. Errors are inevitable, data becomes outdated by the time it is sent.
We configure direct integration — tasks are synchronized automatically in both directions via REST API or iPaaS. Savings of up to 20 hours per month. You get a unified project picture without manual labor and with protection against duplication.
Why is manual synchronization dangerous?
Manual status updates lead to team desynchronization. When a developer in Jira moves a task to "Code Review", but in Bitrix24 it remains "In Progress", the manager does not see real progress.
Add the human factor — forgot to transfer a comment, made a typo in deadlines. On large projects, such errors accumulate and disrupt deadlines.
Typical integration scenarios
| Pair | Direction | What is transferred |
|---|---|---|
| Bitrix24 → MS Project | Export | Tasks, deadlines, dependencies, progress → .mpp or .xml file |
| Bitrix24 ↔ Asana | Two-way | Tasks, statuses, assignees, comments |
| Bitrix24 ↔ Monday.com | Two-way | Tasks, stages, custom fields |
| Bitrix24 ← Jira | Import | Tickets from Jira → tasks in Bitrix24, status synchronization |
Two-way synchronization means: you created a task in Asana — it appeared in Bitrix24. You changed the status in Bitrix24 — it updated in Asana. Without duplication and manual control.
Which REST API methods are used for integration?
The foundation of any integration is REST API. Key methods:
tasks.task.add— creating a tasktasks.task.update— updating fields (status, deadlines, assignee)tasks.task.list— getting a list of tasks with filterstasks.task.get— details of a specific tasktask.commentitem.add— adding a comment
To track changes — the onTaskUpdate event (webhook). When a task is updated, Bitrix24 sends a POST request to the specified URL with data about the changes.
iPaaS platforms accelerate development
Direct integration via API requires development. An alternative is iPaaS platforms (Integration Platform as a Service): Albato, Make (Integromat), n8n, Zapier. The principle:
- Trigger — an event in one system (creating a task in Asana).
- Mapping — matching fields (Asana "Assignee" → Bitrix24 "Responsible person").
- Action — an operation in the second system (creating a task in Bitrix24 via REST API).
Comparison of approaches:
| Parameter | iPaaS (Albato, Make) | Direct development in PHP |
|---|---|---|
| Setup time | 2–5 days | 5–15 days |
| Mapping flexibility | Medium | High |
| Barrier to entry | No programming required | Requires a developer |
| Cost | Lower | Higher (pays off in complex scenarios) |
iPaaS platforms are 3 times faster than direct development for typical integrations.
Example of Jira → Bitrix24 status mapping
Jira "Open" → Bitrix24 "New" Jira "In Progress" → Bitrix24 "In Progress" Jira "Review" → Bitrix24 "Under Review" Jira "Done" → Bitrix24 "Completed" If the number of stages does not match, we add intermediate rules through custom fields.Exporting tasks to MS Project
MS Project works with .mpp and .xml formats. Bitrix24 does not export to .mpp directly. Options:
- Export via XML. A script exports tasks from Bitrix24 via
tasks.task.listand generates XML in MS Project format. Dependencies, deadlines, resources — everything is mapped to the Project XML structure. - Intermediate CSV. Export tasks to CSV, import into MS Project with manual column mapping.
- Power Automate. For organizations on Microsoft 365 — the connector Bitrix24 → Power Automate → MS Project Online.
Complex status mapping
If statuses do not match by number of stages, we add intermediate rules. For example, when synchronizing with Jira: Jira status "In Progress" → Bitrix24 "In Progress", and "Code Review" → "Under Review". For non-standard transitions, we use Bitrix24 custom fields or auxiliary HL blocks.
How to guarantee no conflicts?
We configure conflict resolution rules: priority of one of the systems or manual resolution. During the test period, we check all task change scenarios — creation, update, deletion, movement through stages.
Step-by-step integration setup
- Audit of current processes: which tasks, fields, statuses are used.
- Tool selection: iPaaS for typical scenarios or direct development for specific requirements.
- Create a mapping table of fields and statuses between systems.
- Configure triggers and webhooks to track changes.
- Testing on test tasks: creation, update, deletion.
- Launch into production and monitoring.
What is included in the setup
- Integration scheme with a description of the synchronization direction
- Field and status mapping table
- Configured webhooks or iPaaS scenarios
- Test synchronization report
- Documentation and access for the administrator
- 30-day performance guarantee
