Configuring Bitrix24 Working Time Tracking

HR juggles time sheets in Excel, relying on gut feelings or manual badge logs. Overtime goes unnoticed, tardiness is selectively enforced, sick leave disappears in message threads. Our engineers, with over a decade of production experience, set up the working time tracking module in Bitrix24 so that every minute is recorded and reflected in reports. We handle the entire process—from turning on the module to training staff. Over 100 implementations completed. After automated tracking is in place, payroll errors drop by 90% compared to Excel-based timesheets.

Documentation: working time setup

How to Configure Workday Start and End

The module is activated in Settings → Working Time. Once enabled, the Start Workday button appears in the top panel. Employees click it when they arrive and End Workday when they leave. If a click is missed, time can be entered manually with a comment. Managers see all adjustments.

The following data is captured:

Parameter Description
Start time Moment of clicking "Start Workday"
End time Moment of clicking "End Workday"
Breaks Pause/resume during the day
Worked hours Net work time excluding breaks

Choosing a Work Schedule: Fixed, Flexible, or Shift

A work schedule defines the standard hours. Schedules are created in Settings → Working Time → Work Schedules. Options include:

  • Fixed — 9:00–18:00, Mon–Fri.
  • Flexible — 8 hours per day, start time at the employee’s discretion.
  • Shift — 2/2, 3/3, night shifts.

Each department or employee is assigned a schedule. The system compares actual hours against the norm and calculates shortages, overtime, and lateness.

How to Set Up a Shift Schedule for Night Shifts

Create a schedule with type "Shift", specify the rotation of days and hours. For night shifts: set start and end times (e.g., 22:00–06:00). The system automatically recognizes night hours as a separate time type. An extra pay can be applied via integration with the payroll module.

Tracking Absences: Vacations, Sick Leave, Business Trips

The module integrates with the absence calendar. Employees or HR record absences via Working Time → Absence Calendar. Absence types are configured in Settings → Working Time → Absence Types—custom types such as "Work from Home", "Study Leave", "On Call" can be added.

Absence Type Use Cases
Annual Leave 14, 28 days
Sick Leave Illness
Business Trip Client visit
Remote Work By agreement

Why Task Time Tracking Matters

Each task card includes a timer: clicking Start begins tracking, Pause stops it. The total time logged against tasks is compared with the workday duration. If an employee records 8 hours of work but only 3 hours on tasks, it means 5 hours are not linked to specific tasks. For a manager, this triggers an investigation: either the timer wasn't used, or 5 hours were spent on unlogged work. This approach is three times more accurate than manual Excel time sheets.

Reports: Timesheets, Violations, Labor Costs

The Working Time → Reports section provides:

  • Timesheet — a monthly report per employee: work days, absences, hours.
  • Violations — lateness, early departures, missing days without approval.
  • Labor costs — time per task broken down by employee, project, department.

Reports can be exported to Excel for accounting or HR. Time saved on report preparation — up to 40%.

Timelines for Working Time Configuration

Basic configuration takes 2 to 5 business days. For complex shift schedules with night shifts and payroll integration — up to 10 days. This includes analysis, schedule design, implementation, testing, and staff training.
